Randy thanked all of the Board members for their exceptional work this year.  It has been a great year for KCBS.   We are very excited about starting 2017 we will be having Kosher Contests.   This is a very exciting move for KCBS.

SANCTIONING COMMITTEE MINUTES

December 13, 2017

After reviewing our goals for the year we summarized the three projects that we decided to focus on this year.  I am so proud of the committee this year and the positive comments we have had from our KCBS Organizers.

Our first project was to have a Facebook Page for just Organizers.  A way to reach out to one another and to ask questions those other Organizers would have.  Within days the number of members on the Organizers Face book page began to climb.  With over 200 now we know we satisfied a need that the Organizers had.  When reviewing the posts they are assisting each other with problems that they face in organizing an event.  Things such as sponsorships, logistics, vending, satisfying the needs of the competitors, advertising, prize money, trophies and the list goes on.  We should be very pleased with the committee’s efforts because we helped our KCBS Organizers in a way that they haven’t been able to be helped.  Special thanks to Karrin Murphy for setting up the page and to Kim Collier for helping to monitor it.

We realize that the Organizers face many obstacles when putting together an event.  We felt we needed to know what these obstacles were.  Debbie put together the survey for us to post on Survey Monkey and with the help and suggestions of the committee Kim sent this out to all of the Organizers.  Many questions were asked from how long they have been a KCBS member and Organizers to the financial part of the event and the questions on the planning of the event.   With the surveys in the results were shared with the committee and in January will be shared with all of the Organizers.  A great tool for them to review and realize that we all face the same ordeals.  The survey was confidential so no one will know who participated in it.

Our third project is a Video project.  There have been many times when bringing a competition to a new area/town people may not fully understand what the event is and what it takes to put one of these events together and also to show the benefits of the event to the area.  For an organizer to put together a video presentation would cost thousands of dollars.  We felt that KCBS needs to be able to tell the story of how an event comes to be also.  So we are having a video contest where colleges and Technical schools will be notified and will be able to compete in putting this video together and win a scholarship.  The video will begin with an open field and show how it is all put together.  Interviewing the cooks, the vendors, the judges, the sponsors etc. . . .  The video will show the part they all have in making a CBS event happened.  Organizers will be able to use this video when they are approaching a town/city about bringing their event to their area.  The contest will be in the February issue of the Bullsheet.  We are working with Dave Compton, Chair of the Philanthropy Committee who will ask the Board for an approval of a dollar amount for the winner’s scholarship.

Although there are several more projects that we need to work on we are very proud of the three projects we selected and completed.

I sincerely thank everyone on this committee for their dedication and passion to KCBS and to understand the importance of making sure our KCBS events continue to grow.  We don’t need to lose an event because an Organizer needed help and didn’t know where to turn to.  Now the know where to go.

We will have one of the Organizers who made a comment on the Organizers Facebook Page on how he grew his event in only a couple years to be very profitable.  He has agreed to speak at our Banquet and help any and all organizers who reach out.  We really appreciate Graham Wilson giving of his time for this event.

Dennis Polson asked if anyone had any goals to pass on to the next committee. Dave Londeen asked that the next committee try to get all judges to judge by the standards set forth by KCBS. He reported that some judges are not giving any nines on any criteria for all four major categories.  No one else had any suggestions at this time.  Dennis did report that Mike Lake sent some suggestions to him and he would send them to this committee and the next one.

Seating of Judges

Mike Peters suggested that a new program/formula to be used I  seating judges at Sam’s Club events as a test to see if any significant changes in the scoring of tables (angel/death) occurs.  There was much discussion on this topic. Mike told the committee that many of the cook teams want to know why the data collected on the judges is not used to seat judges at events. It was explained by many Reps on the committee that many factors are needed to access where a judge is seated. The data collected is only one aspect of what is taken into consideration when seating judges at a particular table. After a long discussion, there was no good way found to seat judges. Mike will research the program/formula in February and will report the finding to the next committee for their consideration. Carol Bigler asked that Mike Peters be designated to address the issue with the cooks, because he is a cook and a board member and not a Rep. She and the other Reps on the committee thought the results of the “testing” would be better received by the cooks than that of a board member that is a KCBS Rep. Mike agreed to do so.

Dennis thanked everyone for their help this year and hoped to see everyone at the banquet in Atlanta.

No meeting will be held in January.

Judge scorecard

Went live July 7, 2016

Judges can review all contests judged back to 2014.  Is not used in tracking for MCBJ or 100 pin as it does not track TC or Volunteer contests.

Data is now provided to the board each month showing the number of judges accessing judge scorecard each week and each month.

Changes were implemented to assist the office in computing International TOY and Backyard TOY is available for future use.

BANQUET MEETING

December 27, 2016

MEMBERS:  Randy Bigler, Carolyn Wells, Randall Bowman, Julie and Rusty Cook, Rais Keyes, Carol Bigler, Darrell Meade, Sandy Fulton and Karrin Murphy.

This being our last meeting before the Banquet time was spent reviewing the program with Rais.  She reported that as of this date we have 250 registered and 212 paid.

All of the items for the Goody Bags will be in the “War Room’ and she reported that we have plenty of volunteers to help with filling the bags.  Thanks to Randall and Julie, Rusty and Carol with helping to get items for the bags.  Rais also said she has volunteers for the registration area also.

We will have a Band playing before the Banquet and if time allows after the Banquet.  The Band is not charging us to perform.  Randall will speak to Jeremy Moyer regarding the sound needs of the Band.

Randy has all of the items needed for Bingo on Thursday evening.

Communications Committee Report

January 8, 2017 

Below is the "Year in Review" for the Communications Committee.
Thank you to all of our committee members. 

Our final meeting was attended by:  Mark Simmons (Chairman), Debby Gage and Karrin Murphy, Randy Bigler, Ralph Williams, Bill Capstack. 

It has been our pleasure to serve the Kansas City BBQ Society this year as the communications committee. My committee members were dedicated to serve and all the members were actively engaged and valuable contributors to the year’s deliberations.

There were several initiatives and prominent discussions in the 2016 committee. We look back and reflect upon the following:

A motion was made and approved by the BOD to authorize the technology committee to create the member profiles in our data base to be accessible by KCBS members. In this way, the members can ensure that their personal information is maintained and up to date (i.e. current email address, birthdates, anniversary, etc.) It is anticipated that the number of “dead emails” has declined since this action was implemented in August.

The committee asked the BOD to make sure that “Go Digital” notices were included in all E-Blasts that went out to the membership and all editions of the Bullsheet

A section was developed in the Bullsheet, “Ask KCBS.” Candy Weaver has done a superb job in addressing timely questions each month. Thank her when you see her for all her diligence. 

The committee requested a more prominent and easier way to link to the digital version of the Bullsheet. That was accomplished and we want to thank MMA and the technology committee for facilitating the installation of the link.

In the Spring, the committee recommended to the BOD that the Bullsheet take the next step to go completely digital. There is always an opportunity for those who prefer paper to opt out of the digital initiative, but you can only imagine how much paper has been saved and will be saved in the years ahead as we get in front of the digital revolution.

The committee in the late summer was asked to consider development of a Pitmaster Program to recognize our cooks for their career achievements, much like the CBJ program for our judges. A skeleton has been developed and passed on the strategic planning committee and it is hoped that the new committee and BOD will take this up for consideration in 2017. Our cooks are an integral part of KCBS and an awesome bunch to say the least. This recognition is a small way to say thank you for in many cases years and years of sacrificial service and dedication to who we are at KCBS.

Thank you Karrin Murphy for all of your hard work on the Bullsheet.

It has been a great year. Thank you for your support. May the best years of KCBS lie ahead!!!

STRATEGIC PLANNING COMMITTEE REPORT

January 2017

 

Our committee members are Bill Capstack (Chairman), Joe Otto (Co-Chairman), Bruce Bubacz, Sybilla Hawkins, Doyle Hill, Paul Kirk, Skip Sayles, Mark Simmons, Jon Williams, Randy Bigler (President), and   Carolyn Wells (Executive Director) 

2016 Strategic Planning Committee Accomplishments:

  • New KCBS World Headquarters completed one month early and under budget.
  • Executive Director Core Succession Plan Finalized.
  • Wall of Champions designed and constructed.
  • New Ancillary Guidelines for Lobster, Catfish, Gumbo, Freshwater Crawfish, Beef Ribs, Salmon, and Salt Water Crayfish (Spiny Lobster) approved.
  • Grilling competitions added to Competitor Series events.
  • Collegiate Division bylaws, constitution and chapter documents developed
  • Committee descriptions updated.

 

Suggested 2017 Initiatives by Committee for Consideration by the Board:

  • Develop a clear, comprehensive description of the duties of the Executive Director to include core competencies required to get the job accomplished. (Strategic Planning)
  • Develop Smoke Master Program. (Strategic Planning)
  • Establish a Barbecue Museum and Library. (Strategic Planning)
  • Explore the possibility of a teaching facility in the new building, i.e., teaching kitchen, barbecue 101 classes, kid’s cooking classes, etc. (Strategic Planning)
  • Develop a strategic plan with the international team for the international initiative that includes travel budget requirements. Strategic Planning/International)
  • Explore craft beer and wine events. (Strategic Planning)
  • Promote ancillary/grilling/collegiate events. (Marketing)
  • Conduct a comprehensive review of the CBJ/CTC curriculum. (CBJ)
  • Conduct formal evaluations from knowledgeable individuals. (CBJ)
  • Develop a method to inform non-members how to obtain a KCBS membership. (Marketing/Membership)
  • Contact health departments in competition areas to ensure that food cooked for donation is cleared for consumption. (Sanctioning)

Philanthropy Committee Report:

This month the committee finished up the Challenge Grants electronic applications and had them posted on the KCBS webpage.   Both the Challenge Grants and KCBS Scholarships applications are posted and ready to go live on January 23rd of 2017.

This will be the first time that the Grant applications are submitted electronically, eliminating all paper applications for the Philanthropy Committee's projects, including the Challenge Grants, KCBS Scholarships and the Gary & Carolyn Wells Awards.  The number of applicants for each of our programs has increased year by year and going electronic has saved us a lot of money on office staff-hours.

We are still exploring ways to fund the KCBS Foundation and any ideas from the membership will be welcomed.  Our long term goal is for the Foundation to have enough money to act as an endowment, where we only use the interest to fund our awards each year.  We realize that this is a very long term goal and that it's going to take baby steps before it's up and running at full speed.

We ask that the Board accept this report.
