CBJ Committee Report

January 29, 2018    7 pm CST

Members Present: Dennis Polson, Chair; Phillip Brazier, Co-chair; Linda Polson, Recording Secretary, Carl Parrish, Maxine Kilgore, Frank Gonzales, Marge Plummer, and Carolyn Wells, KCBS Executive Director.

Dennis opened the meeting with the topic of feedback from KCBS Annual Meeting/Banquet related to Judges. Questions have been brought to his attention about the need for programs, recognition, etc. for Judges at the meeting. The following suggestions were made by committee members for consideration:

Have a door prize drawing for Judges attending the CBJ Meeting at Annual Meeting.

Have the (active) Judges stand at the Awards Program to be recognized.

Recognize select Judges each year who go “above and beyond.”  Nominations would be made by Reps and/or Organizers through an application process with the CBJ Committee making the selections.

Recognize CBJs who have attained MCBJ, 100+, 200+ status, etc. during the year.

Also discussed was suggestions to improve Cooks/Judges relationships with the following ideas being presented:

Encourage “practice cooks” with CBJs giving immediate feedback to cooks with productive discussion.

Do a profile of cooks, CBJs and Organizers in every Bullsheet.

Suggest that Reps invite one cook team member to be in the Judging area at each contest.

Arrange to make a video of an actual contest throughout the judging process, insuring the integrity of anonymity of boxes, etc.

Dennis thanked all the Committee members for their service and accomplishments during the past year.  The meeting was adjourned at 7:40 pm.

Rep Committee Report:

The Rep Committee met the first week of January and was a combination December 2017 and January 2018 meeting.  The minutes from that meeting were submitted for the January 2018 Board meeting.

The following goals were given to the Rep Committee for 2017 and here are the results.

    •       Review & update Independent Contractor Agreement

Agreement was reviewed and no changes were needed.  This was communicated to the BOD.

    •       Uniform seating of judges

Early 2017, it was determined that judges would be seated via the Shuffle.  This was instituted nationwide.  Mid-year, Mark Gibbs developed a method of seating of judges that was based on their scoring averages divided evenly among the number of tables to be utilized at a contest.  This program was Beta tested across the country for several months and it was determined that it was very successful.  It was rolled out to ALL reps in January of 2018 and mandated to be used for all Master Series contests.

    •       Evaluation of Reps

No formal system as been developed.  A few instances of possible Rep ineptness was reported and investigated.  No problems were found.

    •       Update Rep Manual

Asking that this goal be carried over to 2018 due to its magnitude.  Did update Rep Advisory Manual which took a big portion of the year.

    •       $ for new members

Would like to discuss further with new Board in February

    •       Improve Consistency

    •       Standardized seating of judges nationwide

            •           Advisory Manual updated and the updates communicated

            •           Sent out, periodical, emails reminding Reps of duties that needed to be performed and the way they should be performed to promote consistency.

            •           Updated Cook, Judge, and Table Captain meeting scripts so all meetings can cover the same material.

            •           Built Committee with members across as many geographic areas as possible

            •       Ambassador Class

Technology Committee Report

KCBScore current version 12.6.1.5

Friday, February 2,  KCBS experienced a website outage. The SSL certificate expired. As soon as this was realized, we worked hard with our IT transition team to deploy a new cert. What should have been a quick simple fix, turned into a 4 hour outage due to compounding problems from lack of account access. Protections are now in place to insure this does not happen again. KCBS is transitioning to a new IT service provider and is implementing safeguards, monitoring, and alerting of critical systems to ensure things like this don’t happen. KCBS is also in the final phase of a 3 month project to produce a request for proposal for a brand new Membership Based Web Platform. The new platform will provide the much needed visibility, automation, reporting, and capabilities to our community. This has been a long time vision and just one of many good things coming to KCBS in 2018!

 

Strategic Planning Committee Report

Since there has been NO communication for 2017 concerning strategic planning, I thought I would include past accomplishments and goals.

 

2015 Strategic Planning Committee Accomplishments:

            •           Located and procured a new location for the KCBS headquarters.

            •           Updated all committee descriptions to enhance awareness and improve communications.

            •           Reviewed all prior board decisions for their origin, justification and continued relevance.  Developed a database so that all board members may research this historical data on a timely basis.

            •           Developed procedures for collegiate-level Competitors Series events.  The first event was held at the UMKC campus in Kansas City was a total success.

            •           Tailgating competition guidelines have been published.

            •           Ancillary category guidelines for steak, oysters, sausage, vegetables (vegetarian), hamburgers and desserts have been developed and published.

 

2016 Goals:

            •           Monitor the completion of the renovation for the new building.

            •           Relocate the current KCBS staff to the new facility.

            •           Secure tenant(s) for the new location.

            •           Review the By-Laws.

            •           Update committee descriptions.

            •           Finalize the procedures for establishing a collegiate division chapter.

            •           Finalize the rules governing the collegiate division.

            •           Explore the opportunity to sanction specialty contests/events for heirloom or super premium brands of proteins.

            •           Expand KCBS presence at contests to promote membership and Advanced OnLine program

 

2016 Strategic Planning Committee Accomplishments:

            •           New KCBS World Headquarters completed one month early and under budget.

            •           Executive Director Core Succession Plan Finalized.

            •           Wall of Champions designed and constructed.

            •           New Ancillary Guidelines for Lobster, Catfish, Gumbo, Freshwater Crawfish, Beef Ribs, Salmon, and Salt Water Crayfish (Spiny Lobster) approved.

            •           Grilling competitions added to Competitor Series events.

            •           Collegiate Division bylaws, constitution and chapter documents developed

            •           Committee descriptions updated.

 Suggested 2017 Initiatives by Committee for Consideration by the Board:

            •           Develop a clear, comprehensive description of the duties of the Executive Director to include core competencies required to get the job accomplished. (Strategic Planning)

            •           Develop Smoke Master Program. (Strategic Planning)

            •           Establish a Barbecue Museum and Library. (Strategic Planning)

            •           Explore the possibility of a teaching facility in the new building, i.e., teaching kitchen, barbecue 101 classes, kid’s cooking classes, etc. (Strategic Planning)

            •           Develop a strategic plan with the international team for the international initiative that includes travel budget requirements. Strategic Planning/International)

            •           Explore craft beer and wine events. (Strategic Planning)

            •           Promote ancillary/grilling/collegiate events. (Marketing)

            •           Conduct a comprehensive review of the CBJ/CTC curriculum. (CBJ)

            •           Conduct formal evaluations from knowledgeable individuals. (CBJ)

            •           Develop a method to inform non-members how to obtain a KCBS membership. (Marketing/Membership)

            •           Contact health departments in competition areas to ensure that food cooked for donation is cleared for consumption. (Sanctioning)
