MINUTES
BOARD MEMBERS PRESENT: Candy Weaver, Mike Budai, Mark Simmons, Tana Shupe, Randy Bigler, Mike Lake, Paul Kirk, Arlie Bragg, Steve Farrin, George Mullins, and Dave Compton. Executive Director Carolyn Wells was not present.
MEMBERS CALLING IN: Matt Burt & Sonny Ashford
President Candy Weaver called the meeting to order at 7:02 p.m.
Secretary Tana Shupe apologized for failing to post the announcement of this meeting on the KCBS website within the required time period and made a motion to reschedule this special meeting for Wednesday, June 27, 2012. The motion was seconded by Paul Kirk. Upon discussion, Paul withdrew his second, and with no additional second, the motion failed.
Arlie Bragg made a motion to hold the meeting since it was mentioned in the Quick Notes that were posted. Seconded by Randy Bigler, the motion passed unanimously.
Tana Shupe made a motion to go into executive session at approximately 7:15; seconded by Paul Kirk the motion passed with 10 ayes and one nay.
During executive session, Sonny Ashford gave his statement and answered questions from the board about the scoring irregularities at the contest in North Platte, NE.
Paul Kirk made a motion to come out of executive session at 8:43; seconded by Tana Shupe, ayes were unanimous.
In Open Session the following statement was made:
Due to rep error during Chicken and Rib judging at the contest in North Platte, NE, two tables were short judges, and cards were falsified in the two categories. The rep who called into the meeting could not explain how this happened. Missing scorecards from the North Platte contest were replaced by using the established "lost card" procedure. Bona fide judging slips from the affected tables were averaged to produce the missing scores. The lowest score from the table was then dropped per usual procedure. When averaging cards, if a fractional number occurred, when the fraction was .5, the next highest whole number was used. This method was used to certify results for the North Platte contest at the regular board meeting on June 13, 2012. These scores, as certified, will be used for ToY computation.
Steve Farrin made a motion, seconded by Dave Compton, to terminate contest reps Patty Flessner and Sonny Ashford, with a right to re-apply as reps in training after one year, although acceptance of application is not a given, and to terminate Sonny's duties as a CBJ instructor. With 9 ayes and 2 opposed, the motion passed.
Paul Kirk made a motion to adjourn at 8:50; seconded by Mike Budai, the motion passed unanimously.
After reading the Quick Notes and after e-mail discussion, the board would like to add the following statement as an addendum:
"While discussed in executive session, it was not stated in the statement of results after deliberations on the North Platte matter that the board discussed long and hard the disposition of the reps in question. Due to loss of cook team trust as evidenced by many e-mails to the board, collectively and individually, it was determined that termination was the best course of action. Because CBJ Instructors are held to a higher standard as instructors of the KCBS rules, the CBJ Instructor was terminated as well. The board further states that the reps' service in the past is acknowledged and appreciated by KCBS. After one year, both former contest reps may reapply to be reps in training upon approval by the board as constituted in 2013."
