SANCTIONING COMMITTEE MEETING

The entire meeting was devoted to review the new Organizers Guide.  This project has been in the works for several months and each Committee member has shared their recommendations for the Guide.  The Guide will be reviewed again in its entirety at the October meeting and then sent to Mike Hayes, President, for his review.  Our hopes are to have it completed by the Banquet for distribution and review.  Organizers will now find the new Guide to give them the knowledge, experience and actual suggestions to having a successful event.  Instead of just directing it will give them suggestions on how to achieve their goals.

There will be a separate attachment for First Time Organizers.  The Committee feels that a first-time organizer needs to have more training than they currently have.  This attachment will answer those questions a first time organizer will have and help steer them in the direction of success without the frustration of not knowing all the rules and situations they may have their very first year.

International Board of Managers Report- Wayne Lohman

2017 October International Board of Managers Report

Travel for the International IOTeam has slowed down due to weather changes in Central and Northern Europe with the summer BBQ Circuit over.  Our first contest in Slovenia was held in the Capital City of Ljubljana that brought 28 teams from 8 countries to compete on Lake Zbilje.  We met with 2 organizers from Serbia who observed this contest with an interest in establishing a BBQ event in Novi Sad, the second largest city in the Country.

As previously reported we were invited to cook at the US Embassy at the request of Ambassador Brent Hartley.  This was the largest event ever held at his home where we served 140 guests of foreign dignitaries and their staff.  KCBS received excellent media coverage from this event.

Our first sanctioned Contest in Hungary will be held this weekend in Tallya, the center of the Country’s wine region.  40 teams from 11 countries will highlight this event which is in conjunction with the wine harvest festival.  The International Board compliments the organizers for including a KCBS Membership in their competition fees which resulted in an additional 16 KCBS teams.

I would request that the Board review the YouTube presentation of our 2 day cooking/judging class that was held and filmed on June 17-18 in Hungary.  This presentation can be viewed at https://www.youtube.com/watch?v=+1jDzxPgA2s&t=11s .

Please also look at the contest poster on the next page of this letter.  The list of sponsors is amazing for a first-time contest, not to mention 40 teams from 11 countries.  Both Slovenia and Hungary have been working on their contest over a year and we met with both (individually)at the WEST contest in January 2017.  We are very confident that both contests will continue to be successful.

KCBS CBJ Committee Minutes-Dennis Polson 

September 25, 2017 7pm CST 

Members Present: Dennis Polson, Chair; Phillip Brazier, Co-Chair; Mike Hays, KCBS President; Linda Polson, Recording Secretary; Frank Gonzales, John Scharffbilig, Bill & Debbie Gage, Marge Plummer, Mike Peters, Maxine Kilgore, Jon Amedei, Ralph Williams, Carolyn Wells, KCBS Executive Director; and Sammye Phelps, KCBS Manager Member Services.

Dennis opened the meeting. The Committee discussed the possibility of a different CBJ badge for those Judges who have attained 100+, 200+, or 300+ contests.  Sammye Phelps, KCBS Office Staff, provided cost information for set up and individual badges. Most committee members were favorable, with the plan for KCBS to pay the nominal set up fee and qualifying Judges purchasing their own badges. The question was raised about the pin design being the same as the MCBJ badge. Sammye will investigate cost and availability and provide a report at the October meeting.

The Committee discussed the sample Judges, Table Captain's & Volunteers Critique, which was developed by Frank.  Several questions were raised and suggestions made; Committee members will forward additional suggestions to Frank for revision and discussion at the October meeting.

Dennis reported that Sandy is including a statement on the Organizer's Group about “No Show” Judges.

The next meeting will be October 30th at 7 pm CST. Meeting adjourned at 7:56pm.

 

Rep Committee – Philip Brazier, Chairman

September 26th, 2017

The meeting began at 7:00 PM Central Time

Members present: Dennis Polson, Bill & Debbie Gage, Alan Rothrock, Steve Alvarez, Steve Grinstead, Bob McKinnon, Kim Collier

Members absent: Ralph Williams and Mike Eberle

Carolyn Wells – Executive Director was, also, present via phone.

The meeting was dedicated to working on the updating of the Table Captain’s meeting script.  Mike Eberle and Brazier had developed a first draft for the committee to review.  After much discussion, it was determined that the script was too detailed and the whole format needed to be addressed.  Brazier said he would take the notes from this meeting and try to put them in an acceptable form for the committee to review and act upon at the next meeting.

As the above mentioned took up a majority of the meeting time, no other items of the agenda were discussed and will be forwarded to the October meeting.

Brazier did inform the committee that approximately 10 rep teams are, now, testing the new judge seating program.  And he wanted them to know that during this testing there will be times when husbands and wives may be seated at the same table.  This has been approved by the Board for these tests.

The meeting adjourned at 8:00 PM Central with the next Committee meeting being scheduled for Tuesday October 24th at 7:00 PM Central.

The lease is in the hand of the attorney again.  We look forward to getting this ironed out.

BANQUET MEETING- Sandy Fulton-Chair

Banquet Committee-Sandy Fulton, Chair-September 26, 2017

Committee members:  Sandy Fulton, Barbara Richter, Chris Peters, Randy Bigler, Rich & Bunny Tuttle, Randy & Carol Bigler, Bill Capstack, Karrin Murphy, Mike Hayes, Carolyn Wells, Kim Collier 

Kim reported that arrangements have been completed for the Tour that we are offering members on Friday and Saturday afternoon.  Ad has been placed in the Bullsheet.

With all the AV requirements in Barbara will be working with different AV Companies to choose the most cost-effective company for the Banquet.

The photo Booth and DJ have been contracted for Friday night.  The event will be from 8-12 on Friday night. 

Karrin will be completing a chart of the number of volunteers needed.  She will make it in 2-hour increments.  She will share the list with Bill Capstack.  They will then begin soliciting for volunteers.

Barbara received a revised diagram of the Banquet Set Up.

Sandy has asked Kim for a list of Organizers who have for one reason or another not given a complimentary space in their contests for the raffle that is held at the Banquet.  Sandy will ask a couple of the Committee members to help her contact these Organizers to see if they could help this year by donating a contest.  This certainly will help to offset some of the charges that KCBS incurs for the Banquet.  Sandy doesn’t feel this should be left up to Kim.

Karrin is asking Organizers to send in photos from their contests for the Power Point that will be shown at the Banquet. 

The menu selection will be done on October 1, 2017.  Bill Capstack agreed to be the lead on this selection.

The Committee recommended that The Argossy be the host hotel for the KCBS Banquet for 2019, 2020, 2021.  Sandy was informed at the meeting that there have been some changes in the contract.  They will be reviewed and the Committee will make a new recommendation if necessary.

Rules Committee:   Mike Richter

The Rules Committee met September 26th and the next committee meeting is Tuesday October 17th. Since the last meeting I had the honor of volunteering with Operation BBQ Relief (OBR) in Texas and Florida. All the volunteers and OBR are commended for their efforts to feed those impacted by the hurricanes.

During the last meeting the Board directed a clarification to the existing pork rule be submitted. In accordance with established procedures the below proposed change was posted 14 days prior to the next (October) Board meeting.  This proposed change is submitted as a motion.

Based on input from members, the Board determined during the February Planning Meeting the existing pork rule required clarification.  The Board again discussed the topic at length during the September Board meeting. The existing and proposed rules are provided below.  In accordance with established procedures this proposed change is published 14 days prior to the next board meeting. The purpose of publicizing is to allow the membership to submit comments on the proposed rule change prior to the Board voting. Comments should be emailed to bod@kcbs.us

PORK:  Pork is defined as Boston Butt, Boston Roast, Picnic and/or Whole Shoulder, weighing a minimum of four (4) pounds at the time of inspection. After trimming, pork shall be cooked whole (bone in or bone out), however, once cooked, it may be separated and returned to the cooker at the cook’s discretion. It may be turned in chopped, pulled, chunked, sliced or a combination of any of those.

Proposed:

PORK:  Pork is defined as Boston Butt, Boston Roast, Picnic and/or Whole Shoulder, weighing a minimum of four (4) pounds at the time of inspection.  At no time after inspection shall the cut weigh less than 4 pounds at the time the cut is placed on the pit and the cooking process has begun. Once cooked to an internal temperature of 145°F in the thickest part of the cut, it may be separated and returned to the cooker at the cook’s discretion.

Michael McDearman: I would like to bring a motion that the Bullsheet   publication be shifted from printed newspaper version to kcbs.us for its distribution in 2018 with a .pdf printable format available to membership.  BOD authorizes funds for the web development hours.  BOD will monitor the transition and determine when publishing the printed version will cease after implementation of the website version.
