Sands Spring Ok has had their on 04/08 & 09/2016,04/07&08/2017 since Sands Springs canceled their contest for 2018 the date was available. Sulphur Ok was post on 09-19-2017

StillWater Ok, for 2017 was 04/01&02/2016,03/31&04/01/2017,

When I looked at the date For Sulphur, Ok I gave them Sands springs date, since I knew they were not coming back.

The mess up is that Stillwater contest fall on the first weekend of April which happens to be the 6&7, I thought they would be March 30&31 by going off 2017 date.

Both are aware of this and both want to keep their contest date.

Organizers Guide is completed.  Kim will proof it and add changes to Sanctioning Form.  We will have it printed and ready to distribute at the Banquet.

The Committee worked on the rules for the Get Out and Grill Series.  The following recommendations were made:




Choice of:            Stand-alone event on Friday night

                                Held simultaneously with four meat competition on Saturday

More affordable event for Organizers to hold

If event is held on Friday night the Reps overseeing Saturday’s event can oversee the Grilling Series

If event is held on Saturday a separate Rep must be used

Sanctioning fee for the Grilling Series is $200

If held on Friday, the event will take the place of an Ancillary Category

Organizer will decide if event is open to the Public

Size of space should be a minimum of 15’ X 15’

Marketing will advise Organizers of sponsorships for Grilling Series, this will determine choice of protein selected by Organizer

Prize money will be determined by number of entries

Suggest $50-$100 entry fee per team

Marketing Committee will do Press Release

This is a recruitment vehicle for people to transition into BBQ

Important that it be a fun, creative and family oriented event

Judges separate from other series.  Suggestion that judges used as Table Captains for Saturdays event be used as judges for the grilling series

If Grilling Series is held on Saturday it will be the last category judged.  (If team has entered four meat category, it is important that they have time to cook and turn in after brisket.

No points involved.

Must grill with charcoal or gas.

End of year grill off?????

Must work closely with Marketing Committee for sponsorships and naming rights.

Sandy thanked Committee for their time and all their work on making this a very successful year for reaching our goals.

2017 December Board of Managers Report

Over the past year, the IOTeam has made several attempts to feed the troops at various military bases around the world through the help of the USO and other interested parties who wanted to support our efforts.  Because of the tight base security restrictions, we were never able to activate this program, but our efforts did not go unnoticed by Ramstein Military Base in Germany.

The Ramstein Public Affairs Community Engagement NCOIC office has asked to us to assist with a local community program BBQ event in August 2018.  The following is a description of the event that will bring together 200 German and US Military Leaders:

The objective of the Grassroots program is to involve airmen socially in the local community, to raise awareness of the German culture as well as foster a general understanding to forge friendships.  The Public Affairs Community Engagement NCOIC, assists the Host Nation Office with the program.

Event Description

The 86 Air Wing Grassroots Program, International Kansas City Barbecue Society, and Tremendous Que are joining forces to bring BBQ to our overseas Airmen and forge friendships with the German Community next August.  The German Grassroots BBQ Bash is a new initiative aimed at education, fellowship, and increased awareness through America’s backyard past-time.  Over 3 fun-filled days celebrity cooks from KCBS will offer classes on competition barbecue and host a community engagement picnic to bring together our service members and friends from the local German Community.  BBQ has always been the “people’s” food and this August the people, both American and German, will celebrate together through good food and fellowship while strengthening our relationship as a community.

KCBS CBJ Committee Minutes-Dennis Polson

November 21, 2017    7 pm CST

Members Present: Dennis Polson, Chair; Phillip Brazier, Co-Chair; Linda Polson, Recording Secretary; Frank Gonzales, Marge Plummer, Maxine Kilgore, Carl Parrish, Jon Amedei, Ralph Williams, Mike Peters, and Sammye Phelps, KCBS Manager Member Services.

Dennis opened the meeting & reported that a final decision needs to be made about choice of 100+ Badges. Following discussion, the committee made the choice of Judges' name with 100+ behind the name. Set up for badges will be arranged by the KCBS office.

Requirements for MCBJ was discussed. Phillip reported that the new information is now the KCBS website – Judges/TCs/volunteer critique form, alternative responsibilities for disabled/handicapped CBJs to fulfill Master CBJ requirements, and 4 KCBS meats requirement.

The form for qualifications for CBJs to cook with a Team for MCBJ was discussed.  Following discussion, the committee approved the form with minor modifications.  Dennis will send the final draft to the committee for approval before presentation to the BOD.

Dennis stated that he will be doing a CBJ presentation at annual meeting on January 12-13th and requested input from committee members. He has compiled a list of items discussed during committee meetings throughout the year but would like other agenda items. Mike Peters stated that the technology committee is working with a company to rework the KCBS website and would like changes, problems, suggestions for consideration.

Decision was made that the next meeting will be January 8, 2018 at 7 pm. Meeting adjourned at 7:35 pm.

Phillip Brazier, Rep Chair, conducted the meeting.

Prior to the meeting, Committee members had been sent the latest revised version of the Cook’s Meeting script for their review.  This had been developed by Alan Rothrock and Phillip Brazier.  After some discussion, a couple of items were added, and the script was approved.  It will be sent to the office for posting on the website.  This, now, completes the project of revising all three, Cook, Judge and Table Captain, meeting scripts.

Brazier was, then, asked to give a brief synopsis of the “Triple” event held recently in Cumming, GA.

Brazier concluded the meeting by thanking the members for their hard work throughout the year and appreciated their serving with him on the committee.

The meeting adjourned at 8:00 PM Central.


The building committee has received requests to make repairs to the air-conditioning system along with possible total replacement in the next 3 to 5 years

I would also like to see a couple of proposals on maintenance agreements, so we make sure we are getting the best possible deals

I have asked Kim Collier to get a proposal on 4 to 6 poles with small signs on them stating reserved for KCBS guests as we move into the new ventures with the rental clients on the third floor it would be nice if our guests had reserved spots to park in the front of the building Carolyn has stated the vet hasn’t accepted the offer on the old office and we should seek listing it with an agent

KCBSCORE is currently on version which allows windows 10 to be used. There was a Microsoft issue

Barbara reported that she will be focusing on hotel specs next week and to get everything to the Hotel, so Karen do event orders.  She is still working getting final AV info.  She will be following up on that this week.

Sandy will email Board to ask for those having sessions during the Banquet to post to their Facebook page that any member not being able to attend the Banquet to please submit their questions, if any to the Committee Chair.

Karrin is working on updating the website.

Question was asked to contact Wayne Lohman to see if he would like to have a session on International.  We have a room for him to do that.

Suggestion to have a telephone in the Rep Meeting room for members to call in with questions.  Barbara will check to see if that is possible.

There will be a room available for the videos that were discussed at last the last meeting.

Ten people have currently signed up for the Tour.  If we don’t have enough signups for both days, we will just have one tour on Friday.

Because of the Christmas Holiday the Banquet Committee will meet on December 19, 2017.

Board requested that Sandy consider streaming the Rep Meeting.  Wayne mentioned that many International Reps would like to be part of it.  Sandy will contact Karrin to see how this can be done.

2. Senior KCBS Lifetime Membership

Discussed a member request for deviation from the current process approved by the board in 2014. Reviewed past actions listed below and decided to keep with the status quo. 

Jan 16, 2010 BOD meeting: 

KCBS to provide Lifetime Memberships at the rate of $400 for single memberships or $500 for family membership (Member and significant other or a child under the age of 21 years) (total of two memberships.) This includes 1 copy of the Bullsheet.  KCBS shall amortize and recognize the income of the lifetime membership over a ten years period of equal amounts.  The lifetime membership is non-refundable and not assignable.

The older members of KCBS do not see the advantage of a Life Membership but would still like to be a Life Member.  There might be many reasons why they are not becoming Life Members -- money, health, age, cutting out driving long distances to contests, family, etc.

This is what I was thinking:

A member 65-year-old or older (is could be 60 or whatever we come up with) that has paid their dues 5 CONSECUTIVE years be added together and subtract that amount from a Life Membership.

Example: A person is now 70 and they have paid 5 years of consecutive dues (single 175.00) (family 250.00), subtract that from a Life Membership they would now owe (single 175.00) (family 250.00).

Now a problem we might have is those Life Members that fit into this situation that have already become Life Members.  Do we do a refund if asked?

We have a few members that have been longtime members, 20 consecutive years plus. Should we do something for them?  Most I think would fit in the above example.  But a parent or grandparent might have bought a child membership before we came up with a Life Membership.  That person could be in their 30, 40, 50's.

November 12, 2014 BOD Meeting Minutes

The Membership Committee move that a member 65 years old or older, in good standing, that has paid their dues five (5) consecutive years, KCBS will add those 5 years together and subtract that amount from a Single or Family Lifetime Membership.  The member will pay the difference for a Single or Family Lifetime Membership.

A KCBS member wishing to take advantage of the Lifetime Membership payment will agree to:

1.  Be and maintain a membership in good standing according to KCBS rules and regulations.

2.  Receive their Bullsheet by electronic mailing.  No paper Bullsheet will be mailed.

The scheduled payment for this type of Lifetime Membership will be:

Single Lifetime Membership                                                 Family Lifetime Membership

Lifetime Membership = $400.00                                           Lifetime Membership = $500.00

Five years at $35.00 = $ 175.00                                          Five years at $50.00   = $250.00

3. Discuss Membership Welcome Letter

Donna will work on the computer generated welcome letter.

Rules Committee:   Mike Richter

The Rules Committee met November 30th. The committee discussed a few topics and finalized a couple proposed changes to the existing Burger rules.  The proposed changes are highlighted in yellow. These rules are not part of the three-fold and do not require posting 14 days prior to the board meeting. There will not be a Rules Committee meeting. I want to thank the members of the committee (Mark Cassel, Barry Johnson, Larry Voth, Dave Compton, and Mike Wozinak) for their hard work, time and patience. We would also like to wish everyone a Merry Christmas and a Happy New Year.

The motion is made to adopt the proposed changes to the ancillary rules for burgers.


1. Scoring:  The standard KCBS weighted scoring system will be used for Appearance, Taste and Tenderness/Texture:

Appearance: .5600 (14.00% of total score)

Taste: 2.2972 (57.43% of total score)

Tender/Texture: 1.1428 (28.57% of total score)

2. Turn-In Time will be at the election of the Organizer and will be stated in Contestant Packet and at the Cook’s Meeting.

3. Contest Organizer will provide 1 or 2 turn-in containers or a platter. Turn in containers need "NOT" be closed or covered. If a platter is used, it must be able to be carried by one person.

4. Burgers must be cooked on a grill.  Alternate heat sources are allowed and charcoal, wood, electric and propane are permissible.

5. The following cleanliness and safety rules will apply:

a. No use of any tobacco products while handling meat.

b. Cleanliness of the cook, assistant cooks, cooking devices(s) and the team’s assigned cooking space is required.

c. Shirt and shoes are required to be worn.

d. Sanitizing of work area should be implemented with the use of a bleach/water rinse (one cap/gallon of water). Each contestant will provide a separate container for washing, rinsing, and sanitizing of utensils.

e. Meat must be cooked to USDA guidelines.

f. Prior to cooking, meat must be maintained at 40° F or less.

g. After cooking, all meat:  must be held at 140° or above OR Cooked meat shall be cooled as follows: Within 2 hours from 140°F to 70° F and within 4 hours from 70° F to 41° F or less.

h. Meat that is cooked, properly cooled, and later reheated for hot holding and serving shall be reheated so that all parts of the food reach a temperature of at least 165° F for a minimum of 15 seconds.

6. All burgers must be composed of grilled patties formed from the protein specified by the organizer (you may add ground non-protein alternative foods) served on buns, other bread products, or alternative wrappings such as lettuce, collectively referred to as "Bun."

7. Burgers may include any combination of condiments (such as ketchup, mayonnaise, salsa, and mustard), spreads (such as tapenade and pesto), sauces (such as barbecue or hot sauce), cheeses, and toppings (such as bacon, onions, tomatoes, avocados, and lettuce). Every component of the burger must be placed between the bun or bread pieces, or served open-faced on a bread product. Unadorned wooden skewers may be used to hold burgers in place for presentation.

8. Contestant must turn-in six (6) regular-sized burgers or six (6) servings if making a single giant burger cut into 6 or more pieces or small burgers or "sliders."

9. Garnish is optional and open.

10. All burgers must be cooked on-site.

Phillip Brazier:  Report on the Beta testing of our Judge Seating Program.

I move that we accept the computerized judge seating program built and donated by Mark Gibbs as the system to be used for seating judges at all KCBS contests beginning in 2018, Seconded by Mike Richter. Motion passed.

Mike Peters:    Steak Contests – Discussion

It was decided that an Adhoc Committee be formed to clarify rules and regulations for having a Steak competition.  Sandy Fulton suggested that that Committee refer to the Get Out and Grill Competition Rules presented to the Board this month for some guidance.  Committee will consist of Dennis Polson, Arlie Bragg, Randall Bowman, Mike Richter, and Michael McDearman.

New Business

Dennis Polson:  Kosher Class Increase Request.  The Board requested that Dennis find out what is the breakeven number and if there will be a minimum number required for the class as there is in the regular CBJ classes.  Dennis will report back to the Board at the January meeting.

I move to rescind the motion made on April 26, 2017 to accept the: “The Kansas City Barbeque Society Board of Directors Charter of the Executive Committee” as written and presented to the Board.  Phillip Brazier seconded.  After a roll call vote motion passed.

I move to reinstate the original statement which was adopted August 13, 2014 that states “Executive Committee: Shall be comprised of the President, Vice President, Treasurer, Secretary and the Executive Director.  The Committee shall be responsible for, but not limited to, negotiating contracts and other actions as deemed necessary.” Wayne seconded.   After a Roll Call vote the motion passed.

I move to amend the motion by adding the words “by the Board of Directors”.

The motion would read as amended “Executive Committee: Shall be comprised of the President, Vice President, Treasurer, Secretary and the Executive Director.  The Committee shall be responsible for, but not limited to, negotiating contracts and other actions as deemed necessary, by the Board of Directors.”  Seconded by Wayne Lohman.  After a Roll Call vote, motion passed.
